About the Role

We’re seeking a highly organized Administrative Assistant to support our Operations team by managing the permit research and submission process from start to finish. This role is focused on accurate permit requirements, clear communication, and reliable follow-through—working directly with U.S.-based Operations Leads and coordinating with government offices on behalf of customers.

Responsibilities

  • Research permit requirements using internal databases, AI tools, and official government resources
  • Call U.S. government offices to confirm requirements and clarify submission details
  • Communicate with customers to coordinate needed information and next steps
  • Prepare and submit permit applications and supporting documentation
  • Track each project through completion and maintain organized status updates

Requirements

  • Exceptional attention to detail and strong accuracy with documentation
  • Independent judgment and the ability to manage tasks end-to-end
  • Excellent written and verbal communication skills in English
  • Comfort working with internal tools and research resources to find requirements
  • Professional communication with government offices and customers
