About the Role
We’re seeking a highly organized Administrative Assistant to support our Operations team by managing the permit research and submission workflow from start to finish. This role is focused on accurate permit documentation and clear communication with U.S.-based stakeholders and government offices on behalf of customers.
Responsibilities
- Research permit requirements using internal resources, AI tools, and official government information
- Make outbound calls to U.S. government offices to confirm requirements and application details
- Coordinate with customers to gather needed information and keep requests moving
- Communicate professionally with U.S.-based Operations Leads and government contacts
- Prepare and submit permit applications and track each project through completion
Requirements
- Strong attention to detail and ability to produce accurate, complete documentation
- Excellent written and verbal communication skills in English
- Ability to exercise independent judgment while following established processes
- Comfort using internal databases, AI tools, and government resources for research
- Reliable organization and the ability to manage multiple permit requests at once
