About the Role
We’re seeking a highly organized Administrative Assistant to support our Operations team by managing the permit research and submission workflow end to end. This role is focused on accurate permit requirements gathering, clear communication with U.S.-based stakeholders, and reliable follow-through until projects are completed.
Responsibilities
- Research permit requirements using internal resources, AI tools, and direct government sources
- Contact U.S. government offices via phone and written communication to confirm requirements and submission details
- Coordinate with customers to gather necessary information and ensure timely responses
- Submit permit applications and track status through approval or completion
- Maintain organized records and documentation to support each project from start to finish
Requirements
- Exceptional attention to detail and high accuracy standards
- Strong written and verbal communication skills in English
- Ability to exercise independent judgment while working with clear processes
- Comfort working directly with U.S.-based Operations Leads and external government contacts
- Proven organizational skills and ability to manage multiple tasks simultaneously
