About the Role
We’re seeking a highly organized Administrative Assistant to support our U.S.-based operations team by managing the permit research and submission workflow from start to finish. This role is focused on accurate permit requirements, clear communication with government offices, and dependable project tracking through completion.
This is not a general administrative or data entry position. You’ll use independent judgment and communicate professionally in written and verbal English with Operations Leads, customers, and relevant U.S. government departments.
Responsibilities
- Research permit requirements using internal resources, AI tools, and official government sources
- Contact U.S. government offices by phone and email to confirm details and submission requirements
- Coordinate with customers to gather information needed for permit applications
- Prepare and submit permit applications and supporting documentation
- Track each permit request and monitor progress through completion
Requirements
- Strong attention to detail and high accuracy standards
- Excellent written and verbal communication skills in English
- Ability to work independently and make sound judgments in a process-driven workflow
- Comfort coordinating with multiple stakeholders and managing deadlines
- Experience in administrative support, operations support, or permit-related research is a plus
