About the Role
We’re seeking a highly organized Administrative Assistant to support our operations team by managing the permit research and submission process end to end. This role is focused on accurate permitting work—not general admin or data entry—and requires strong English communication, independent judgment, and attention to detail.
Responsibilities
- Research permit requirements using internal databases, AI tools, and official government resources
- Contact U.S. government offices via phone and correspondence to confirm requirements and next steps
- Coordinate with customers to gather needed information and keep timelines on track
- Prepare and submit permit applications on behalf of customers
- Track permit projects through completion and maintain clear status updates
- Communicate professionally with U.S.-based Operations Leads and external stakeholders
Requirements
- Exceptional accuracy and strong attention to detail
- Independent judgment and the ability to manage tasks from start to finish
- Excellent written and verbal communication skills in English
- Comfort working with databases, AI tools, and official documentation
- Professional phone communication skills
