About the Role
We’re seeking a highly organized Administrative Assistant to support our Operations team by managing the permit research and submission workflow from start to finish. This role is focused on accuracy and clear communication as you coordinate with U.S.-based Operations Leads, interact with government offices, and keep customer projects moving toward completion.
Responsibilities
- Research permit requirements using internal resources, AI tools, and official government sources
- Contact U.S. government offices to confirm requirements and gather needed information
- Communicate with customers to coordinate next steps and ensure timely submissions
- Prepare and submit permit applications on behalf of customers
- Track each project through completion and maintain organized documentation
Requirements
- Strong written and verbal communication skills in English
- Exceptional attention to detail and high accuracy standards
- Ability to exercise independent judgment while following established processes
- Comfort working directly with Operations Leads and coordinating across multiple stakeholders
- Reliable organization skills to manage parallel projects and deadlines
