About the Role
We’re seeking a highly organized Administrative Assistant to support our operations team by managing the permit research and submission process end-to-end. This role is designed for someone who can work with precision, communicate clearly in English, and coordinate with both U.S.-based Operations Leads and government offices on behalf of customers.
Responsibilities
- Research permit requirements using internal resources, AI tools, and official government sources
- Place outbound calls to U.S. government offices to confirm application details and submission requirements
- Communicate with customers to gather needed information and keep projects moving
- Submit permit applications and ensure required documentation is complete and accurate
- Track each project through completion and provide status updates as needed
Requirements
- Exceptional attention to detail and accuracy
- Strong written and verbal communication skills in English
- Ability to exercise independent judgment when handling permitting steps and documentation
- Comfort coordinating with multiple stakeholders, including government offices
- Experience in administrative support or operations coordination (not general data entry)
