About the Role
Join our team as an Administrative Data Entry File Clerk, supporting day-to-day operations by accurately organizing digital records and maintaining up-to-date databases. This role is ideal for someone who is detail-focused, reliable, and comfortable working independently while handling sensitive information.
Responsibilities
- Receive documents from shared inboxes, portals, ticketing tools, and cloud folders.
- Verify document type, required fields, signatures, and attachments before filing.
- Index records using standardized metadata such as client/project ID, date, document category, version, and region.
- Apply consistent naming conventions and folder structures for easy retrieval.
- Perform document formatting tasks when needed (e.g., PDF merge/split, image-to-PDF, compression, version labeling).
- Maintain controlled libraries (final, draft, and archived) and apply retention tags.
- Run daily quality checks for duplicates, misfiles, missing pages, and unreadable scans; log and resolve exceptions.
- Follow records governance rules, including access controls, retention schedules, and legal hold instructions.
- Support audits by locating records quickly and documenting chain-of-custody steps.
- Coordinate with internal teams to clarify file requirements and provide processing status updates.
Requirements
- Experience with records management, administrative support, clerical work, or document control (preferred).
- Strong attention to detail and the ability to follow filing standards consistently.
- Comfort working with confidential information and strict procedures.
- Basic computer skills, including file systems, spreadsheets, PDFs, and collaboration tools.
