About the Role
Join our team as a Remote File Clerk, supporting accurate document intake, indexing, and organization. You’ll communicate with internal stakeholders and customers to gather required information, then ensure records are entered into the appropriate databases and stored according to established standards.
Responsibilities
- Receive files from shared inboxes, portals, internal ticketing tools, and cloud folders.
- Verify document type, required fields, signatures, and included attachments.
- Index records using standard metadata such as client/project ID, date, category, version, and region.
- Apply consistent naming conventions and folder structures.
- Perform document formatting tasks when needed (e.g., PDF merge/split, image-to-PDF, compression, version labeling).
- Maintain controlled libraries (final vs. draft vs. archived) with appropriate retention tags.
- Run daily quality checks for duplicates, misfiles, missing pages, and unreadable scans.
- Document exceptions in error logs and route issues to the right owner with clear notes.
- Follow records governance requirements, including access controls, retention schedules, legal holds, and archival/deletion rules.
- Support audits by retrieving records quickly and documenting chain-of-custody steps.
- Provide updates on backlog, turnaround time, and any processing issues.
Requirements
- Experience in records management, administrative support, clerical work, or document control (preferred).
- Strong attention to detail and the ability to follow naming and filing rules consistently.
- Comfort working with confidential or sensitive information while adhering to strict procedures.
- Basic computer proficiency with file systems, spreadsheets, PDFs, and collaboration tools.
