About the Role
We’re seeking a highly organized Administrative Assistant to support our operations team by managing the permit research and submission workflow from start to finish. This role involves working directly with U.S.-based Operations Leads and coordinating with government offices on behalf of customers.
This is not a general administrative or data entry position. Success requires strong attention to detail, independent judgment, and clear written and verbal communication in English.
Responsibilities
- Research permit requirements using internal databases, AI tools, and official government resources.
- Contact U.S. government offices by phone and email to confirm submission requirements.
- Coordinate with customers to gather needed documentation and ensure accurate information.
- Prepare and submit permit applications and supporting materials.
- Track each project through completion and maintain organized status updates.

- Exceptional accuracy and strong attention to detail.
- Independent judgment and ability to manage tasks end-to-end.
- Excellent written and verbal communication skills in English.
- Comfort working with internal tools, databases, and AI-assisted research.
- Professional, reliable communication when interacting with government contacts.
