About the Role
We’re seeking a highly organized Administrative Assistant to support our U.S. operations team by managing the permit research and submission process end to end. This role is focused on accurate permit coordination—not general admin or simple data entry.
Responsibilities
- Research permit requirements using internal resources, AI tools, and direct government sources
- Place outbound calls to U.S. government offices to confirm requirements and next steps
- Communicate clearly with customers and coordinate timelines for submissions
- Submit permit applications on behalf of customers and track progress through completion
- Maintain organized project records and ensure work is completed with strong attention to detail
Requirements
- Exceptional accuracy and strong attention to detail
- Independent judgment and the ability to manage tasks from start to finish
- Excellent written and verbal communication skills in English
- Comfort working directly with U.S.-based Operations Leads
- Ability to interact professionally with government offices and customers
