About the Role
We’re seeking a highly organized Administrative Assistant to support our operations team by managing the permit research and submission process from start to finish. This role is focused on accurate, customer-facing coordination with U.S.-based Operations Leads and direct communication with government offices on behalf of customers.
Responsibilities
- Research permit requirements using internal databases, AI tools, and official government resources
- Place outbound calls to U.S. government offices to confirm requirements, timelines, and submission details
- Coordinate with customers to gather needed information and documentation
- Submit permit applications and manage supporting materials through completion
- Track projects end-to-end, ensuring updates and next steps are communicated clearly
Requirements
- Exceptional attention to detail and accuracy
- Strong written and verbal communication skills in English
- Ability to exercise independent judgment while following process and compliance expectations
- Comfort working directly with Operations Leads and coordinating with external stakeholders
- Experience in administrative support with a focus on research, documentation, and submissions (not general data entry)
