About the Role
We’re seeking a highly organized Administrative Assistant to support our operations team by managing the permit research and submission process end to end. This role is focused on accurate permitting workflows—not general admin or data entry—and requires strong English communication, independent judgment, and careful attention to detail.
Responsibilities
- Research permit requirements using internal resources, AI tools, and official government sources
- Contact U.S. government offices via phone and other channels to confirm requirements and next steps
- Coordinate with customers to gather needed information and keep requests moving
- Prepare and submit permit applications on behalf of customers
- Track each project through completion and maintain organized status updates
Requirements
- Exceptional accuracy and attention to detail
- Strong written and verbal communication skills in English
- Ability to exercise independent judgment while following established processes
- Comfort working directly with U.S.-based Operations Leads and external government contacts
- Strong organizational skills and follow-through on time-sensitive tasks
