About the Role

We’re seeking a highly organized Administrative Assistant to support our operations team by managing the permit research and submission workflow end to end. This role is focused on accurate permitting guidance, professional communication, and reliable follow-through with U.S.-based customers and government offices.

Responsibilities

  • Research permit requirements using internal databases, AI tools, and official government resources
  • Contact U.S. government offices via phone and written communication to confirm requirements and next steps
  • Coordinate with customers to gather needed information and keep projects moving
  • Prepare and submit permit applications on behalf of customers
  • Track each project through completion and maintain clear status updates for stakeholders

Requirements

  • Exceptional attention to detail and accuracy
  • Strong independent judgment and the ability to manage tasks from start to finish
  • Excellent written and verbal communication skills in English
  • Comfort working directly with operations leads and communicating with external agencies
  • Prior administrative experience in a process-driven environment is preferred
